About the Role
We are seeking a highly organized and detail-oriented Process Documentation Associate to support the documentation and standardization of HR operational processes across the EMEA region (Europe, Middle East & Africa) in Bucharest, Romania.
The successful candidate will partner closely with local HR Operations teams across multiple European countries to understand, map, and document existing in-house HR processes. The primary objective is to create comprehensive process documentation, including Standard Operating Procedures (SOPs), process maps, work instructions, and related materials that will support process standardization, knowledge transfer, and future service transition activities.
This role is ideal for candidates who enjoy process analysis, stakeholder collaboration, and transforming complex operational activities into clear and structured documentation.

Key Responsibilities
- Work directly with local HR Operations teams across EMEA to understand and document existing HR operational processes.
- Conduct process discovery sessions and interviews with HR Subject Matter Experts (SMEs) and process owners.
- Translate operational knowledge into clear, comprehensive, and standardized process documentation.
- Create and maintain:
- Standard Operating Procedures (SOPs)
- Process Maps / Flowcharts
- SIPOC Documentation
- Work Instructions
- Process Narratives
- Knowledge Articles
- Document process inputs, outputs, controls, stakeholders, dependencies, systems, and key decision points.
- Ensure all process documentation aligns with established governance standards, templates, and quality requirements.
- Maintain version control and documentation change history.
- Review and validate documentation with stakeholders to ensure accuracy and completeness.
- Support process standardization initiatives across different EMEA countries.
- Update documentation in line with process changes, system enhancements, or business requirements.
- Manage operational documentation requests while meeting agreed SLAs and quality standards.

Required Qualifications
- 1–2 years of experience in Process Documentation, HR Operations, Shared Services, Business Process Management, or a related field.
- Fluent/Advanced English (written, reading, and spoken)
- Exposure to HR operations and employee lifecycle processes is preferred.
- Experience gathering requirements and conducting discussions with business stakeholders.
- Strong documentation and process mapping skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Visio or similar process-mapping tools).
- Excellent organizational and planning skills with strong attention to detail.
- Ability to manage multiple priorities and deadlines in a dynamic environment.
